What this template does

A key receipt documents that a recipient — for example a tenant or buyer — has received a specified set of keys, remotes and alarm tags from a landlord or seller. The receipt records the quantity of each item and the terms that apply to possession.

With a signed receipt it is straightforward to show afterwards exactly what was handed over, who is responsible if a key is lost, and what costs may follow. It protects both parties and reduces the risk of disputes.

When do you need this receipt?

You need this if…

  • You are renting out a home or premises and handing keys to the tenant
  • You are selling a property and handing keys to the buyer at completion
  • You are lending keys to tradespeople, cleaners or other third parties
  • You are subletting and want to document the key handover separately
  • There are several keys, remotes or alarm tags that need to be counted and confirmed

You probably don't need this if…

  • Only a single key is handed over and the rental agreement already covers key handling clearly
  • It is an informal short-term loan between people who know each other well

What the receipt includes

The agreement covers the following areas.

Parties

  • Name and personal identity number of the issuing party
  • Name and personal identity number of the receiving party

Key specification

  • Number of entrance keys and master keys
  • Keys to outbuildings and storage
  • Garage or gate remotes
  • Alarm tags
  • Option to add custom key types or access devices

Terms and signature

  • Obligation to store the keys with due care
  • Obligation to report any loss immediately
  • Liability for cylinder change costs in case of loss
  • Prohibition on copying keys without consent
  • Signature digitally or on paper

Important to consider

  1. Count the keys together at handover and confirm the quantity before signing.
  2. Note any markings or serial numbers on keys and tags.
  3. Bear in mind that the cost of changing cylinders following a loss can be significant — particularly in buildings with master key systems.
  4. If keys are handed to tradespeople or cleaners, set a clear return deadline in a separate addendum.
  5. Keep both parties' signed copies until the keys have been returned.
  6. The receipt does not replace the rental or sale agreement; it complements it.

Legal validity

A key receipt is an evidentiary document recording the handover and the terms that apply to possession. It is not a stand-alone agreement in itself, but supplements the underlying rental, sale or service agreement.

In any dispute over lost keys or compensation for cylinder changes, a signed receipt carries significant weight. It shows what was handed over, when it took place and the terms the parties accepted.

Create your key receipt and document the handover with confidence — in just a few minutes.

Common scenarios

Move-in to a rental

The landlord hands over entrance keys, building tag and post key to the tenant at handover and wants to document the transfer.

Completion of a property purchase

The seller hands over all keys and remotes to the buyer and both parties want a receipt as an appendix to the sale agreement.

Subletting

The primary tenant hands over keys to the subtenant and wants to document what was transferred to avoid later misunderstandings.

Lending to tradespeople

A contractor needs access to the property during a renovation and signs a receipt for the keys with terms for return.

Frequently asked questions

Do I need a separate receipt for keys?

It is not legally required, but it is recommended. A dedicated receipt makes it easier to show exactly what was handed over and on what terms, especially when several keys and access devices are involved.

Who is responsible for a lost key?

The recipient is normally responsible for storing the keys with due care and may be liable for the actual costs of replacement, such as a cylinder change. This is set out clearly in the receipt's terms.

What counts as reasonable compensation for a loss?

The recipient compensates the actual and reasonable costs incurred, such as cylinder replacement or re-coding. For master key systems in larger buildings the cost can be substantial — it is wise to inform the recipient of this in advance.

Is the recipient allowed to copy the keys?

Under the receipt's terms, written consent from the issuing party is required before copies are made. The same applies to remotes and alarm tags linked to access systems.

Does the receipt need to be signed by both parties?

Yes, the receipt is most valuable when both parties sign — this confirms both handover and acceptance of the terms. You can sign digitally or on paper.

How long should the receipt be kept?

Keep the receipt until the keys have been returned and any final settlement of deposit or compensation is complete. For property purchases it is wise to file the receipt together with the sale agreement.
