What this template does

An inventory list for a sublease documents the condition of the home and which furniture, appliances and other equipment are included at the start of the tenancy. The list is prepared jointly by the landlord and tenant and forms an appendix to the sublease agreement.

With a clear inventory list it is easy to determine what counts as normal wear and tear and what counts as damage when the tenant moves out. It protects both parties and reduces the risk of disputes over deposits and compensation.

When do you need this list?

You need this if…

  • You are subletting your home, fully or partially furnished
  • You are moving into a sublet home and want to document its condition
  • The home contains furniture, appliances or other equipment owned by the landlord
  • You want a clear basis for comparison when the tenant moves out
  • You want to protect yourself against unfair deductions from the deposit

You probably don't need this if…

  • The home is rented completely unfurnished and without equipment
  • It is a very short rental between people who know each other well
  • An up-to-date inventory list is already part of the rental agreement

What the list includes

The agreement covers the following areas.

Parties and home

  • Names and personal identity numbers of landlord and tenant
  • Date the list is prepared
  • Type of home (rental flat, condominium or house)

Condition assessment

  • Overall condition of the home on a five-point scale
  • Additional notes on condition

Rooms and inventory

  • List of rooms with optional notes
  • List of furniture and equipment item by item
  • Quantity and condition for each item

Keys and signature

  • Confirmation of received keys
  • Date of key handover
  • Signature digitally or on paper

Important to consider

  1. Walk through the home together at handover — that is when any damage or defects are easiest to spot.
  2. Be specific in your notes: record scratches, stains, marks or faults rather than just writing 'okay'.
  3. Supplement the list with photos showing the condition at handover.
  4. The inventory belongs to the landlord — the tenant is responsible for normal care but not for normal wear and tear.
  5. The inventory list does not replace the sublease agreement; it is an appendix to it.
  6. Keep both parties' signed copies until the tenancy is fully settled.

Legal validity

The inventory list is an evidentiary document that records the condition and contents of the home at handover. It serves as an appendix to the sublease agreement and is applied together with the Swedish Land Code (Chapter 12) and, for sublets of condominiums or houses, the Private Rentals Act (2012:978).

A carefully completed and signed inventory list carries significant evidential weight in any dispute over damage or missing property. For larger homes or valuable equipment it may be wise to supplement the list with photos or a separate valuation.

Create your inventory list and document the condition of the home in just a few minutes — before the tenant moves in.

Frequently asked questions

Is an inventory list required for a sublet?

It is not legally required, but strongly recommended. Without an inventory list it is difficult to prove afterwards what condition the home was in and what was included at handover — which often leads to disputes when the tenant moves out.

When should the list be prepared?

The list should be prepared when the tenant takes possession of the home, ideally by walking through the home together room by room.

Who is responsible for normal wear and tear?

The tenant is responsible for damage caused by negligence or carelessness, but not for normal wear and tear from ordinary living. The inventory list helps establish where the line is drawn.

Can the list be supplemented with photos?

Yes, it is recommended. Photos taken at handover are a strong complement to the written notes and make the move-out assessment easier.

What happens if something is missing or broken at move-out?

The landlord may claim compensation for missing or damaged inventory beyond normal wear and tear. The inventory list then serves as evidence of what was there and in what condition at handover.

Is the inventory list part of the rental agreement?

The list is an appendix to the rental agreement and refers to it. It does not change the terms of the agreement; it documents the condition of the home and its contents.
