What this template does

A cash payment receipt is written proof that a sum of money has been handed over in cash from a payer to a recipient. The template states the parties, what the payment relates to, the gross amount and the applicable VAT rate — the VAT amount and net amount are calculated automatically.

The receipt is particularly useful for cash transactions between businesses and private individuals, when an invoice is paid in cash, or for smaller services where no formal invoice is issued. With a signed receipt, both parties have clear evidence that the debt has been settled.

When do you need this document?

You need this if…

  • You receive a cash payment for goods or a service
  • An invoice is paid in cash and you need to acknowledge receipt
  • You sell something privately and both parties want simple written proof
  • You need to document VAT and the net amount for bookkeeping
  • The buyer or seller wants a receipt in addition to any cash register receipt

You probably do not need this if…

  • Payment is made by bank transfer or card and can be evidenced electronically
  • A full cash register receipt or paid invoice has already been issued
  • You are selling a car or another regulated asset where a specific purchase agreement is used

What the receipt includes

The agreement covers the following areas.

Parties

  • Payer's name and company or personal identity number
  • Recipient's name and company or personal identity number
  • Clear confirmation of the parties to the payment

Payment information

  • Description of what the payment relates to (goods, service or invoice number)
  • Gross amount including VAT in SEK
  • Choice of VAT rate: 25%, 12%, 6% or VAT exempt
  • Automatically calculated VAT amount and net amount

Date, place and signature

  • Date when the payment was received
  • Place where the payment took place
  • Recipient's signature confirming receipt
  • Option to sign digitally or on paper

Important considerations

  1. The receipt is proof of payment but does not replace bookkeeping obligations under the Swedish Bookkeeping Act. Businesses must always comply with applicable rules on cash registers, receipts and accounting.
  2. Choosing the correct VAT rate matters — pick the rate that applies to what was sold. Use 0% (VAT exempt) only when the transaction is genuinely exempt from VAT.
  3. When handling cash above certain thresholds, anti-money-laundering rules and reporting obligations may apply — check what applies to your business.
  4. Store the original receipt and a copy in a safe place. If signed digitally, the document is stored automatically.
  5. The receipt is evidence between the parties but does not replace a full purchase agreement for larger or more complex deals.

Legal validity

Swedish law does not prescribe a specific form for a payment receipt, but to be useful it should be in writing, clearly identify the parties, describe what the payment relates to and be signed by the recipient.

A signed receipt provides strong evidence that payment has been made. It can be relied upon in any dispute over whether a debt has been settled or goods paid for.

For businesses, the requirements of the Swedish Bookkeeping Act regarding accounting vouchers apply alongside this receipt — the receipt does not replace ongoing bookkeeping.

Common scenarios

Private individual pays cash for a service

A tradesperson or consultant receives a cash payment from a private individual and issues a receipt with specified VAT.

Sale of used equipment

A business sells used inventory in cash to a private individual or another company, and both parties want a signed receipt.

Invoice paid in cash

A customer chooses to pay an issued invoice in cash. The receipt references the invoice number and confirms that the debt has been settled.

Small-scale services between private individuals

One private individual performs a small task for another and both parties want to document that payment has been made.

Frequently asked questions

Does the receipt have to be on paper?

No. The receipt can be created and signed digitally. A digital receipt has the same evidential value as a paper version, as long as it is clear and signed by the recipient.

How is the VAT calculated?

You enter the gross amount including VAT and choose a VAT rate. The VAT amount and net amount are calculated automatically: VAT is based on the chosen rate and the net amount is the gross amount minus VAT. If the gross amount is empty or zero, 0 is shown.

What applies to VAT-exempt sales?

Choose the 0% (VAT exempt) rate from the list. The VAT amount will be 0 and the net amount will equal the gross amount.

Does the receipt replace a cash register receipt?

No. Businesses subject to the Swedish cash register law must always issue a cash register receipt. This receipt is a complement that more clearly shows parties, payment and VAT.

Can I use the template for sales abroad?

The template follows Swedish practice and Swedish VAT rates. Cross-border transactions are subject to special rules and you should verify what applies to that specific deal.

What do I do with the receipt after signing?

Store the original safely. Businesses must keep the receipt as an accounting voucher under the Swedish Bookkeeping Act. Private individuals should keep the receipt at least until any complaint deadlines have expired.
